The Contact Manager is a centralized system for managing contact information used across vendor risk workflows. It lets you create, view, update, archive, and export contact records for internal and external stakeholders, eliminating the need to manage information across spreadsheets, inboxes, or individual workflows.
Contacts are stored once and made available wherever needed on the platform. The Contact Manager helps you:
- Maintain a single system of record for contacts
- Reuse contacts across workflows
- Monitor SecurityScorecard-provided vendor contacts for updates
- Surface contact information at the moment a request is triggered
This reduces administrative effort and allows teams to focus on risk evaluation and remediation.
Who is this for?
The Contact Manager supports both VRMs and vendors.
For VRMs, it ensures vendor outreach goes to the most appropriate contact and that internal stakeholders are clearly identified for each vendor relationship.
For vendors, it provides a structured way to maintain accurate internal contact information so the right team members can respond to incoming requests.
Contact types
The Contact Manager supports three contact types:
- External contacts: Email addresses that are not associated with your organization. For VRMs, these typically represent vendor points of contact used for questionnaires, document requests, remediation efforts, or breach communications.
- Internal contacts: Email addresses within your organization. These may include risk analysts, vendor relationship managers, or business stakeholders associated with a vendor.
- SecurityScorecard-provided vendor contacts: Pre-populated contact records SecurityScorecard supplies for vendors you monitor. See SecurityScorecard-provided vendor contacts below for details.
Add a new contact
You can add contacts individually by filling in a form, or add multiple contacts at once by importing them from a CSV file. See Add contacts in Titan AI to learn more.
Manage existing contacts
From the Contact Manager table, select the actions menu next to a contact to:
- View details: Opens a panel showing the contact's full record, including their email address, name, title, request topics, and the organization they represent, along with record information such as source, who created the contact, and when.
- Edit: Update the contact's fields.
- Archive: Removes the contact from active use. Archived contacts are no longer available to users, but they remain visible in historical activity, and you can restore them at any time.
Export contacts
You can export your current contact dataset to use outside the platform. From the Contact Manager, go to Actions and select Export.
The Export contacts dialog shows how many contacts are in your current dataset, how many are ready to export, and how many you don't have permission to export. You can export only contact data your organization manages. Contacts shared by other organizations or provided by Titan can be used within the platform but can't be exported to protect their privacy.
SecurityScorecard-provided vendor contacts
SecurityScorecard may provide pre-populated contact records for vendors you monitor.
These records come from integrated data providers and are automatically associated with the correct vendor. Available information includes the job title, company affiliation, and a timestamp indicating when the record was last updated.
To comply with data provider requirements, we obscure personally identifiable information such as full name and email address. You can't edit these records, but you can use them in vendor outreach workflows.
If a contact is no longer associated with a vendor or their information changes, the record is marked as inactive.
Contact Manager in workflows
When you trigger a workflow, such as sending a questionnaire or requesting documentation, contact information is surfaced directly within that experience.
This eliminates the need to leave the workflow to locate or confirm contact details. Contacts can be selected at the point of action, improving accuracy and reducing process friction.
By centralizing contact management and integrating it directly into vendor risk workflows, the Contact Manager reduces friction and supports more efficient response management.
