Tagging provides a flexible way to organize and manage large volumes of data across Titan AI. Tags are fast to apply and easy to create. You can apply tags to Contacts in the Contact Manager and to Vendors in the Vendor Directory to create custom views, segment information beyond structured fields, and support informal workflows such as triage and internal tracking.
Tags are best used for:
- Creating custom views and filters
- Supporting informal workflows such as triage, tracking, and internal notes
- Categorizing data in ways not captured by fixed fields like Risk Tier or Owner.
Apply an existing tag to a contact or vendor
Start by selecting + in the Tags field on any contact or vendor. Select from the search results. If a tag belongs to a tag group, the group name will be visible to help you choose the correct one.
You can also apply or remove tags in bulk by selecting multiple contacts or vendors (or an entire filtered list) and selecting Actions > Set tags to update them all at once.
Selecting Set tags opens a checklist of all tags in your organization, with tags belonging to a group listed under the group name. Use the search field to narrow a long list. Check a tag to apply it, or clear the checkbox on a tag already applied to remove it, then select Apply to update all selected contacts or vendors at once.
Create a new tag
If a tag doesn’t exist, type the name and select Create. New tags created this way use default settings and are not assigned to a group unless you select one when creating the tag or manage it later in Settings.
Tag names:
- Can be up to 50 characters long
- Can include letters, numbers, and symbols
- Cannot include spaces
- Must be unique across the organization (uniqueness is case-insensitive, so “Urgent” and “urgent” are treated as the same tag)
New tags appear in the Tag Manager. All users in your organization can view and use the tags that have been created. Applying a tag to a contact or vendor requires that you can view that record; no additional tagging permission is needed.
Filter with tags
Once applied, tags become powerful filters. You can filter contacts or vendors by specific tags to create custom views, allowing you to prioritize the data that matters most to your current task.
Manage your organization's tags
The Tag Manager page, accessed by going to Settings > Tag Manager, provides a centralized place to manage all tags for your organization.
From here, you can:
Edit tag names: Renaming a tag here updates it everywhere it is used across the platform.
Manage groups: Create or rename tag groups to categorize your tags.
Archive, restore, or delete tags: Archive tags or groups you no longer use, restore them later, or delete them permanently. Archived tags can’t be applied to new contacts, but they remain on contacts they were already added to.
Tag groups can only be created and managed within the Tag Manager. When you create a tag directly from an object, it is not associated with a group by default.
Organize tags with groups
Tag groups let you organize related tags under a shared category, making them easier to find and apply. When a tag belongs to a group, the group name appears alongside it in the tag picker so you can quickly identify the right tag. Grouping is optional — a tag can exist on its own without belonging to any group.
Key things to know about tag groups
- A tag can belong to only one group. Moving a tag to a different group removes it from its previous one.
- Group names follow the same rules as tag names: 1–50 characters, no spaces, and unique across your organization (case-insensitive).
- There is no limit to the number of groups you can create or the number of tags you can add to a group.
Create a tag group
You can create a group in two places:
- From the Groups tab in Settings > Tag Manager, use the option to add a new group.
- While creating or editing a tag. When choosing a group, you can create a new one without leaving the dialog.
Manage a tag group
From the Groups tab in Tag Manager, you can rename, archive, restore, or delete a group. The Groups view also shows which tags belong to each group.
Archiving vs. deleting a group
Archiving a group hides it from active use while keeping it available for later restoration. Archived groups can be restored at any time and retain their tag assignments. When you archive a group, you choose what happens to the tags inside it:
- Archive group only: The group is archived; its tags remain active and still belong to the group; they just won't show a group label until the group is restored or the tags are moved.
- Archive group and its tags: The group and all of its tags are archived together.
Deleting a group is permanent and cannot be undone. When you delete a group, you choose what happens to the tags inside it:
- Delete group only: The group is deleted and its tags become ungrouped (they are not deleted).
- Delete group and migrate tags to another group: The tags move to a group you select.
- Delete group and its tags: The tags are deleted along with the group.
