You can grow and organize your Vendor Directory in a few ways: add vendors one at a time by searching for them, import many vendors at once from a CSV file, or use groups to keep related vendors organized for easy filtering.
Add a new vendor manually
Add vendors individually by searching for them in the Vendor Directory.
- Go to My Network > Vendor Directory and select Add vendor.
- In the Add new vendor dialog, start typing the company's name in the search box. Results appear as you type.
- Select the vendor from the search results to open a company preview.
- If the vendor is already in your directory, its row is marked In directory. Select View vendor to open its record instead of adding a duplicate.
- If you can't find the company you're looking for and your organization supports adding new legal entities, select Create a new vendor from the end of the results list.
- From the preview, choose how to add the vendor:
- Add and monitor adds the vendor and starts active monitoring. This uses one of your available vendor slots.
- Add without monitoring adds the vendor to your directory without starting monitoring. This option remains available even if you have no vendor slots left.
If your organization has no remaining vendor slots, the preview panel shows a warning, and you can't add a monitored vendor until more slots are available.
Once added, the vendor appears in the directory with a confirmation message and initially carries a New status. Click the vendor to open a preview panel where you can review its details, assign it to groups, and start onboarding or assessment activities.
Vendor details panel
The vendor details panel gives you a quick look at the vendor's key details without leaving the Vendor Directory. It shows top-level insights like findings, security events, and detected 4th parties, along with editable fields for risk, business impact, access type, data types shared, contract details, and assigned contacts. You can also manage the vendor's group memberships and portfolio associations directly from the panel.
To open the full vendor profile with complete details, click View full profile in the top-right corner of the panel.
Import vendors
If you need to add several vendors at once, you can import them from a CSV file instead of adding them one at a time.
- From the Vendor Directory page, select Import vendors.
- In the Import vendors dialog, select Download template (.csv) to get a correctly formatted starting file, and fill it in with your vendor data.
- Drag your completed file into the upload area, or select a file from your computer, then select Upload. Files must be in .csv format.
- Your file is validated automatically. This may take a moment for larger files.
- Review the results on the summary screen:
- Rows found to be valid and ready to import are counted separately.
- Rows that match vendors already in your directory are treated as updates rather than new vendors, and are counted on their own.
- Rows with errors are listed under Errors found, grouped by issue (for example, an unrecognized organization, an invalid or missing field, or a duplicate already in your list). These rows won't be imported.
- Select Download report to get a CSV listing exactly which rows failed and why, so you can correct and re-upload them.
- Select Continue import to import the valid rows and apply any updates. Rows with errors are skipped and are not imported.
If your organization runs out of available vendor slots partway through an import, rows that would add new monitored vendors beyond your limit are rejected, while rows that update existing vendors continue to go through.
If every row in the file fails validation, the import is blocked entirely. You'll see a message explaining that the file couldn't be read, along with the option to download an error report and re-upload a corrected file.
Once the import completes, a confirmation message shows how many vendors were imported successfully, and the new and updated vendors appear in the directory.
Organize vendors in groups
Once your vendors are in the directory, groups let you organize them into custom categories that make sense for your business, such as by team, region, or business unit.
Each group has a name and an optional description. A vendor can belong to multiple groups, and you can assign or change group membership at any time from the vendor's preview panel.
-
To manage your groups, open Manage groups from the Vendor Directory.
From there, you can create a New group, Edit an existing one, or select Delete group for groups you no longer need. You'll be asked to confirm before it's removed. - To assign a vendor to a group, open the vendor's preview panel, go to the Groups section, and select the edit icon to choose from your existing groups, or type to create a new one. The same control lets you remove groups the vendor no longer belongs to.
- To filter the directory by group, open Manage groups, find the group you want, and select Filter by group from its action menu. The directory narrows to show only vendors in that group.
