Your Knowledge Base stores the questions and answers your team relies on to respond to security questionnaires and vendor requests. This article explains where that content comes from and how you can add to it directly.
How your Knowledge Base gets populated
Beyond manually adding References and Site Pages, your Knowledge Base is built up automatically from several sources as your team uses the platform:
- Completed questionnaires. When your team answers a questionnaire from a customer or vendor, those questions and answers are added to your Knowledge Base as part of your Questionnaires content.
- Documents you upload. Files you upload directly (including certifications and policies) are added to your Documents content and made available to support future answers.
- Connected integrations. If you've connected Vanta, Drata, Hyperproof, or Confluence, supporting documents and evidence are synced into your Knowledge Base automatically on a recurring schedule, so content you already maintain in those tools stays up to date here without manual re-uploading.
- Knowledge topics. As new Q&A content is added from any of the sources above, similar questions and answers are automatically grouped into topics, helping keep your Knowledge Base organized and free of duplicate or conflicting answers over time.
Add references
The References tab lets you add standalone Q&A pairs directly to your Knowledge Base. A reference question is content your team writes to answer questions your organization expects to see again, for example, a company-wide statement like "Do you encrypt data at rest?" paired with your standard answer. Unlike a live questionnaire from a customer or vendor, a reference exists purely to build up your Knowledge Base and does not count against your questionnaire usage.
You can add references in two ways:
- Add a single Q&A pair manually. Select Add Reference > Single Q&A pairing, then enter your question and one or more answers. You can either add the pair to an existing reference questionnaire or create a new one on the spot by giving it a name and an owner. You can also set an expiration date so the answer is flagged for review after a set period.
- Upload a completed questionnaire as a reference. Select Add Reference > Upload a file questionnaire and upload a file in XLSX, PDF, or DOCX format. Our team extracts the questions and answers from your file and imports them into your Knowledge Base as reference Q&A pairs. Our team reviews this import, and it typically completes within 3 to 5 business days rather than instantly.
There is no limit on the number of references or reference questionnaires you can add to your Knowledge Base.
Add site pages
The Site Pages tab lets you pull content from your own public-facing web pages into your Knowledge Base, for example, a security or trust page already published on your company's website.
To add a site page, enter the URL of the page you want to import and select Import content and sync. If you want to bring in an entire section of your site rather than a single page, check Include subpages from this URL; this will crawl and import every page found under that URL, up to a limit of 1,000 pages per site.
Importing a site page is not a one-time snapshot. Once added, the page (or set of pages) stays connected to your Knowledge Base, and you can manually re-sync it at any time to pick up changes to the underlying content. If you no longer want a site's content included, select Stop syncing with this site to remove it and its imported pages from your Knowledge Base.
Crawling is limited to the domain of the URL you enter. Subpages are only imported if they belong to the same site, so content from other websites will not be pulled in. You'll see a progress indicator while your site imports, and you'll receive an email notification once the sync completes.
