The Contact Manager allows you to add, update, organize, and export contacts used across vendor risk workflows. You can add contacts individually by filling in a form, or add multiple contacts at once by importing a CSV file.
Add a single contact
- Go to Communication Center > Contact Manager.
- Select Add contact.
- Choose the contact Type: Internal (coworker or consultant) or External (vendor or partner). This determines which fields appear further down the form. Every contact also requires:
- Email address: Must be unique within your organization.
- Group email (off by default): Turn this on if the address is a shared or group inbox rather than one person's email.
- First name / Last name (required when Group email is off): Standard fields for an individual's contact record.
- Display name (required when Group email is on): Replaces First name / Last name. Used to label a shared inbox.
- Title (optional, only shown when Group email is off)
- Fill in the fields specific to your contact type (see Internal contacts or External contacts below for more information) and select Save.
Email and validation rules
The following rules apply as you fill in the form:
- Only company email addresses are accepted. Personal email domains (for example, Gmail) are not allowed.
- If an internal contact's email doesn't match your company domain (or an approved domain), a warning appears, but you can still save the contact. This is separate from the visibility-related domain check described in Internal contacts, which does block saving.
- If you try to manually add a duplicate contact, the system blocks you from saving it. This check applies only to contacts you add manually. You can still add a duplicate of a contact that SecurityScorecard provided.
Internal contacts
Internal contacts are automatically associated with your own organization. In addition to the fields required for every contact, internal contacts have:
- Show contact on organization's public profile (off by default): Off keeps the contact private to your organization. Turning it on makes the contact visible to organizations you monitor.
- Hide personal details (show the title only) (only shown when the public profile toggle is on): When enabled, other organizations see only the contact's title, not their name.
- Assigned to: Link the contact to one or more organizations you monitor.
If the contact's email domain doesn't match the domain associated with the visibility setting you choose, the form shows an error and blocks saving until you resolve it.
External contacts
For external contacts, you select the organization the contact represents. Your own organization doesn't appear in the options. In addition to the fields required for every contact, external contacts have:
- Organization: The vendor this contact represents.
- Request topics: Checkboxes indicating what this contact should be contacted about.
External contacts are always private. There's no visibility setting, and you can't make them visible to other organizations.
Import contacts from a CSV
If you need to add or update several contacts at once, you can import them from a CSV file instead of using the form. A downloadable template includes the required fields and formatting guidance — using it helps prevent validation errors during upload.
- Click Import contacts and download the CSV template if you need it.
- Upload your file. The file requirements are:
- File format: CSV
- Maximum file size: 50MB
- Review the validation summary. It shows how many rows are valid and flags errors (for example, malformed emails or unrecognized organizations) and warnings (for example, mismatched email domains). You can download a CSV for each error category.
- Click Apply to import. Only valid rows are saved. Contacts are matched by email address, so it updates existing contacts rather than duplicating them.
